Welcome to Rental IQ ("we," "our," or "us"). Rental IQ is an analytics platform designed for Sharegrid equipment rental owners to track revenue, calculate ROI, and gain business intelligence from their rental data.
We respect your privacy and are committed to protecting your personal data. This Privacy Policy explains how we collect, use, store, and safeguard your information when you use our platform at tryrentaliq.com (the "Service"). By using the Service, you agree to the practices described in this policy.
2. Information We Collect
2.1 Account Information
When you create an account, we collect:
- Email address
- Full name
- Hashed account credentials (we never store plain-text passwords)
2.2 Email Data
If you choose to connect your email account, we connect via IMAP (read-only) and search for Sharegrid notification emails sent from help@sharegrid.com. From these emails, we extract rental transaction details including equipment names, rental dates, amounts, and listing image URLs.
We do not read, scan, index, or store the content of any emails other than Sharegrid notification emails.
2.3 Rental Transaction Data
We collect and process the following rental data (from CSV uploads and email enrichment):
- Equipment names and categories
- Rental dates and durations
- Rental amounts (gross earnings, fees, net earnings, discounts)
- Renter full names (no contact details)
- Listing image URLs from Sharegrid
2.4 Equipment Cost Data
You may optionally provide equipment purchase prices and purchase dates to enable ROI calculations. This data is entered voluntarily and stored only for your account.
2.5 Automatically Collected Data
- Browser type and version
- Pages visited within the Service
- Error logs and diagnostic data
- IP address
3. How We Use Your Information
We use your information to:
- Provide the Service: Process your rental data, generate analytics dashboards, and calculate ROI metrics
- Account management: Authenticate your identity and manage your account settings
- Service improvement: Understand how the platform is used and improve features
- Communication: Send important service updates, security notices, and feature announcements
- Security: Detect, prevent, and address fraud, abuse, or technical issues
We do not use your data for advertising, marketing profiling, or any purpose unrelated to providing and improving the Rental IQ Service.
4. Data Storage and Security
4.1 Infrastructure
Your data is stored and processed using industry-leading infrastructure:
- Supabase: Database infrastructure with encryption at rest and in transit
- Vercel: Application hosting with HTTPS enforced on all connections
- Email credentials are encrypted before storage
4.2 Access Controls
- Row Level Security (RLS) policies ensure users can only access their own data
- Environment variables for all secrets and API keys
- HttpOnly cookies for session management
4.3 Email Credential Security
- Email credentials (app passwords) are encrypted with AES-256 before storage
- We only use read-only IMAP access to search for Sharegrid emails
- We never send, modify, or delete any emails in your account
- You can disconnect your email at any time from the Settings page, which immediately deletes your stored credentials
5. Data Sharing
We do not sell, trade, or rent your personal information to third parties.
We may share limited data only with:
- Service providers: Supabase (database) and Vercel (hosting), each bound by confidentiality agreements and their own privacy policies
- Legal requirements: When required to comply with a law, regulation, subpoena, or court order
- Safety and rights: When necessary to protect the safety, rights, or property of Rental IQ, our users, or the public
- Business transfers: In the event of a merger, acquisition, or sale of assets, with prior notice to affected users
6. Data Retention
- Account data: Retained for as long as your account is active
- Rental data: Retained while your account is active; you can delete individual transactions or all data at any time
- Email credentials: Deleted immediately when you disconnect your email account
- Raw email content: Processed in memory and discarded. We do not store full email bodies
- Account deletion: When you delete your account, all associated data is permanently deleted within 30 days
7. Your Rights
You have the right to:
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of inaccurate data
- Deletion: Request deletion of your data and account
- Data portability: Export your data from the platform
- Revoke email access: Disconnect your email at any time via the Settings page
- Withdraw consent: Withdraw consent for data processing at any time

8. Cookies and Local Storage
We use essential cookies only for authentication and session management. These cookies are necessary for the Service to function and cannot be disabled.

Rental IQ integrates with the following third-party services, each governed by their own privacy policies:
- Supabase: Database and authentication infrastructure
- Vercel: Application hosting and deployment
- Resend: Transactional email delivery (password resets, notifications)
- PostHog: Privacy-friendly product analytics
Rental IQ is not affiliated with, endorsed by, or officially connected to Sharegrid. We process data from Sharegrid notification emails and CSV exports, but do not access the Sharegrid platform directly.
10. Children's Privacy
Our Service is not intended for users under 18 years of age. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child under 18, we will take steps to delete that information promptly.
11. International Data Transfers
Your data may be transferred to and processed in the United States, where our service providers operate. By using the Service, you consent to the transfer of your information to the United States and other jurisdictions where we and our service providers maintain facilities.
